Exciting news! Our latest updates are designed to make your experience with TutorBird even better, with improvements to our icons, our cancellation policy options, and the ability to build a website using our website builder while a website built with our old website builder is still live! Check out the new features and enhancements that will help you stay organized and efficient.

Student Management

  • In the Group Tags tab, you now have the option to toggle the ‘Color’ column on & off
  • The ‘Next Lesson’ column on the Student page will no longer show lessons that are either cancelled or lessons where the student has already been marked absent
  • We fixed an issue which was causing error messages to persist when trying to add a new student, cancelling the process and then trying again
  • We fixed an issue that was preventing backwards navigation after editing a student’s attendance
  • When a parent edits their child’s information (in the parent portal), the new info will now show immediately instead of after the page is refreshed

Calendar & Attendance

  • After marking a student as absent, the notice that pops up asking if you’d like to convert the lesson to an open slot will now also give the option to require a make-up credit for that slot
  • When scheduling two Lessonspace lessons at the same time (with different tutors), TutorBird will no longer provide a conflict warning

Families & Invoices

  • We improved the mobile experience of our Families & Invoices page – switching between the Accounts and the Invoices tabs no longer auto-scroll you to the top of the page
  • We fixed an issue that was causing an invoice to be redownloaded upon refreshing the page
  • In the family account, clicking on the family name drop-down in the top left and typing a letter would jump you to that place in the alphabetical list – we fixed an issue that was temporarily causing this to not function correctly

Website Builder

  • Introducing website transitional mode: If you built a website using the old website builder, you can now keep your original website live while you work on your new one!
  • You can now adjust the position of images within the website builder (no more heads getting chopped off)
  • We improved the mobile experience of websites built with the Website Builder, so that uploaded images will keep the same aspect ratio across all devices
  • We fixed an issue that was preventing stock images from being uploaded to the website builder while the uploaded image gallery was empty

Business Settings

  • We have updated & redesigned our Policies tab (in Business Settings), including the option to convert cancelled lessons into open lesson slots instead of just make-up required slots
  • We fixed an issue that was preventing some file types from being uploaded as profile pictures & logos

General/Other

  • We’ve updated the look of the icons in the main menu (don’t worry, all the pages are still the same!)
  • We fixed an issue that was temporarily not allowing PDF files to be uploaded when adding an expense or other revenue from an image
  • We updated the wording that appears when a new login is detected, including a reminder about our 2FA feature
  • We fixed an issue that would occasionally prevent the side menu from closing properly on mobile devices
  • We fixed an issue that was causing iOS devices to claim that SMS messages could not be sent, even when successful
  • Various cosmetic tweaks throughout

We’re giving the gift of updates this month, with a ton of brand new features and fixes that you’re sure to love. We’re working hard on streamlining processes & workflows to make things easier for you!

Students & Tutors

  • Student Groups are now relabeled as “Group Tags” throughout TutorBird, and have added functionality including color coding & being able to search Families & Invoices by group tag. For more information on Group Tags and how to use them, check out our blog post here.
  • We continue to streamline tutor privileges by visually removing options that tutors without privileges don’t have the ability to change
  • We fixed an issue that was preventing students who pay a flat monthly rate from having their name display properly in a tutor’s payroll table
  • We resolved an error that would occur when attempting to assign a tutor to an inactive student
  • Tutors can now view their own payroll attachments (eg. paystubs) regardless of their privileges to “add/edit expenses & other revenue”
  • We fixed an issue that was preventing all available group tags to appear in a list if the amount created was over 25 total

Calendar & Attendance

  • We fixed an issue that was preventing the recent lesson notes history window from closing properly on mobile devices
  • We resolved an error that was affecting the creation of categories from locations outside of the Calendar

Invoicing, Billing & Payments

  • We updated the “Add Expense or Other Revenue” dropdown to be a more user-friendly grid design (similar to the “Add Transaction” options)
  • We fixed an issue that was occurring when attempting to delete a custom expense category tied to mileage
  • We updated the Families & Invoices page with brand new features, including the ability to search families by group tag & column sorting
  • We upgraded our PayPal integration to utilize the benefits of PayPal Commerce Platform
  • We resolved an error that would occur when attempting to return to a Family Account from the Student Details page

Website Builder

  • We fixed an issue that would prevent the ability to switch to an external website if a CNAME record was absent
  • We fixed an issue that would, in rare cases, prevent the “unsaved changes” warning from appearing when leaving the website builder
  • We fixed an issue that was preventing stock images from being uploaded to the website builder

General/Other

  • We added additional functionality to right-click on certain links and open them in a new tab (this also includes shift+click and CTRL+click)
  • We updated our membership workflow to make it significantly easier for members to make changes to their membership
  • In-app notifications are now automatically marked as “read” after viewing them
  • The cancel button in certain dialog windows was clickable during a save – we have resolved this so it’s disabled until the save is safely completed
  • We fixed an issue that was preventing reports from opening when certain browser extensions were installed
  • We upgraded some pop-up windows to improved slide-in windows in multiple locations (including tutors & student attendance records)
  • Various cosmetic tweaks throughout

What are Group Tags and How Can I Use Them?

Group tags are a simple way to label your students so that they’re easy to select in a number of different scenarios. Below are a few examples of how you can use group tags in your business.

Creating an Event 📅

When adding attendees to an event, you can click on “Group Tags” to add all the students with a specific group tag into the attendee field at the same time.

Example: You’d like to create a group lesson for all students signed up for math tutoring. You can tag these students with a “Math” group tag, so that when you create the event you can add them all at once.

Composing an email 📨

When entering the “to” field in an email in TutorBird, you can click on the “Select” dropdown to add all students with a specific group tag into the recipient field at once.

Example: SAT registration period is approaching, and you want to remind students to apply by the deadline. Tag all of your SAT test prep students with an “SAT” group tag to easily add them to the recipient list.

Assigning Resources 📁

When assigning or uploading resources, you can select “Specific students or group tags” to quickly select multiple students to assign the same resources to.

Example: You have an assignment you want to share with all your math students. Tag all your math students with a “Math” group tag to easily assign it to them.

Invoicing Families 💳

When creating a new invoice, you can click on the “Group Tags” button above the “Families” field to select a group of families to send an invoice to.

Example: Your families that pay by semester need to be invoiced for the upcoming semester. Tag all of these families with a “Semester Billing” group tag so you know which ones to invoice and when.

Additional Status Labeling 🏷

You can differentiate students in your active, waiting, leads and inactive lists by adding group tags.

Example: Differentiate your inactive students by adding a group tag for “moved away”, “follow up”, or “do not contact”. As a bonus, color code your group tags so you can easily scan your inactive student list!

Adding Charges and Discounts in Bulk 💸

When creating charges and discounts, you can add them to students assigned a specific group tag.

Example: Tag all students with siblings and easily assign a discount to them all.


Streamlining with Group Tags:

Do you run camps or any other special events? ✏

Let’s say you’re running a boot camp this year, so you decide to assign the group tag “Boot Camp 2024” to everyone attending your camp.

  • Use this group tag to easily add all your boot camp students to events in the calendar
  • Quickly select them as recipients for boot camp related emails
  • Add a registration fee as a charge and apply it to all families that signed up for camp
  • Send an invoice for camp-related costs and in a couple clicks send it to all families
  • You took so many great photos! Upload those to online resources and use the “Boot Camp 2024” group tag

The possibilities are endless with group tags!


How to create a group tag?

  1. On the Students page, click on the tab at the top labelled “Group Tags”
  2. Click on “+ Add Group Tag”
  3. Enter the Group Tag Name
  4. Optional: Assign a color to your new group tag
  5. Optional: Assign this group tag to students
  6. Click “Save”

To assign group tags to existing students, select the checkbox next to the name of all students you’d like to assign a group tag to, click on the “Options” dropdown, and select “Assign group tag”.

To remove a group tag from a student, go to the Group Tags page and select the three dots to the right of the group tag in question, and click on “Edit”. Click the X next to the students you’d like to remove from the group tag.

We’ve had two big updates this month that we are super excited to share with you, along with our regularly scheduled programming. Keep reading to find out more about these two new features, as well the rest of our monthly update notes!

Business Settings Redesign

Need to change a few different business settings but are tired of clicking on every section individually? Now you can edit the entire page in one go and only click save once!

Updating your business profile details? Forget the pop-up, edit those details on a new sleek slide-in window!

Like the colors in your business logo? TutorBird will now automatically recognize your logo colors and suggest a corresponding color palette in both your invoice & website customizations!

2-Factor Authentication

At TutorBird we are always working on ways to keep your account even safer, so we’re excited to announce the initial roll out of 2 Factor Authentication (2FA).

To enable this feature, visit “My Preferences” and follow the instructions under “Enable 2-Factor Authentication”. For more detailed instructions, please visit OUR 2FA SUPPORT ARTICLE.

This setting is completely optional but adds an extra layer of security for those who want it. As a reminder, the most crucial first step in ensuring proper security is to always use a unique password.

Student Management

  • We updated the sample student list excel template to be more intuitive and easier to use when importing a spreadsheet of student information
  • We updated the dialog that appears when inviting multiple students to the Student Portal when some students already had access
  • We updated the dialog that appears when changing a status from parent to student
  • We fixed an issue that was preventing some tutors from linking to a student’s profile from the home agenda

General/Other

  • We added additional conflict detection warnings when attempting to change the tutor of a group lesson
  • We updated the dialog that appears when attempting to add a tutor payment
  • We fixed an issue that was causing the email field within sign up forms to show as being mandatory for child students
  • When using the timeline view in the calendar, the list of tutors will now be expanded by default in businesses that don’t use the “subject” feature
  • We improved the efficiency of how the sign-up widget works behind the scenes, reducing the chances that errors will occur
  • Various cosmetic tweaks throughout

Student Management

  • The student list can now also be sorted by school (if the school column is active)
  • Recently inactive student profiles will now list the number of make-up credit that are still linked to their account
  • We fixed an issue that would prevent a new student group from being created right away after trying to use the same group name twice
  • We fixed an issue that was preventing “mailto:” hyperlinks to be used within custom email templates
  • We fixed an issue that was causing errors when attempting to change a student’s default billing amount beginning on a date that has already passed
  • We fixed an issue that was causing the count of make-up credits to show up incorrectly in the student profile
  • We fixed an issue that would prevent an assigned tutor’s name from appearing in the make-up credits column of the student’s list if the student is receiving free lessons
  • Using the search feature to search message history now provides the option to also search within the email body

Student Portal

  • Clicking on a virtual lesson link from the Student Portal calendar will now open in a new tab instead of redirecting within the same window
  • We fixed an issue that was occurring when trying to submit a study log entry while simultaneously switching between students within the same family
  • We fixed an issue that was causing some online resource folder names to not appear correctly when viewed from the Student Portal
  • We fixed an issue that was preventing students from returning directly to a tutor’s website after setting up their initial Student Portal password

Tutors & Staff

  • A tutor’s preset ‘preferred location’ now extends to the day view in the calendar
  • A tutor’s student list will now display all current active students and will not show students formerly assigned to that tutor
  • We visually removed some setting options for tutors that don’t have the privilege to change those options
  • We removed the ability to edit a payroll entry to change it from income to a deduction
  • We fixed an issue that was preventing an income or deduction to be added to a teacher’s payroll if it has no value and/or category entered.

Website Builder

  • When trying to add an incompatible file to a photo gallery in the website builder, a notice will now appear indicating which file types would be compatible
  • When saving your progress in the website builder, there is now a confirmation message that your work has been saved
  • We fixed an issue that was preventing some embedded contact forms from submitting successfully
  • A preview image will now appear when sharing your website to other platforms

Online Resources

  • We fixed an issue where (in certain browsers) videos played in the online resources section would unintentionally crop when expanding to full screen
  • We fixed an issue that was causing a delay when trying to upload a large file size from an iOS mobile device

General/Other

  • In the case that a student or tutor doesn’t have a profile picture, the placeholder image with their initials will now accept emojis
  • We updated some messaging to clarify that when you replace your Stripe account with a brand new Stripe account, the stored payment methods will be removed but the transaction records will not be removed.
  • Payments made using Bacs (UK bank-to-bank transfers) will now be recorded in TutorBird as soon as it’s been submitted to Stripe. Previously, it would only record after Stripe had begun to process the payment (which could be days later).
  • Updating a family payment from the homepage attendance will now automatically update the homepage balances without refreshing
  • We fixed an issue that would occur when attempting to run a student attendance report, where the final day in the date range would not be shown
  • In a variety of locations, lists of groups have been redesigned in a more user-friendly way to make it easier to find what you’re looking for
  • When creating a mileage report, the results are now shown in order by date
  • We fixed an issue that would cause the side menu to disappear upon using the escape key (under rare conditions)
  • We fixed an issue that was causing the last column in an attendance report PDF to be cut off
  • Various cosmetic tweaks throughout

Lessonspace is an online video and collaborative whiteboard platform designed to delight and engage your students. The whiteboard includes a variety of subject-specific tools, so whether you’re tutoring math, coding, reading, or any other subject, you’ll have the tools you need!

Get started with Lessonspace & TutorBird

First, create a Lessonspace account here. Then, you’ll need to locate your API key.

In Lessonspace:

  1. Click “Settings” in the menu on the left
  2. Go to the “Developer” tab
  3. Click “Copy” to copy your API Key

In TutorBird:

  1. Go to the “Calendar” menu
  2. Click “Options” and select “Categories & Locations” from the drop-down menu
  3. Select the “Locations” tab
  4. Click “+ Add Location”
  5. Name your location and select “Lessonspace” as the Location Type.
  6. Paste the API Key into the “Specify API Key” field and click “Save”

In Lessonspace, the sessions are organized in Spaces:

  • If the student is taking 1:1 lessons, you’ll want to schedule them in a location set to organize by “Tutor-Student Attendee Pairs
  • For scheduling group lessons that have varying attendees, organize by “Recurring Event Series“. When scheduling private or group lessons, select this new location for the event you’re creating and you’ll be all set!

At the time of the lesson, you can begin by clicking the location in TutorBird from the Calendar event or from the Home menu.

  • After viewing the details of a message in message history, the date range will now remember what you had entered previously instead of reverting to the default setting

  • We added a new block option to the website builder – A Map Block! You can now easily add a map to any page of your website
  • When adding a hyperlink to text or an image, you can now link directly to both pages and subpages
  • When editing content using the website builder, the save button will now only enable once you make changes (making it more clear when changes have been made)
  • We updated some of the block previews to even more accurately represent what the blocks will look like on a live website.
  • We fixed an issue that was preventing custom HTML blocks in the website builder from previewing correctly
  • Improved the functionality of the sign-up form widget, by having it automatically scroll to the top after moving to the second page

General/Other

  • TutorBird is now available in French language for French regions
  • BACS is now available as a Stripe payment method for UK users, allowing new direct debit options

This month we have a lot of exciting new updates, including the new ability to skip directly to a page instead of clicking through one at a time. Our brand new Website Builder has also had a number of upgrades, so take a look at some of our biggest changes for this month:

Calendar & Attendance

  • We fixed an issue that would prevent existing event locations to be updated after all locations have been manually removed from an account
  • Making changes to attendees in a recurring event will now notify the user if attendees in a future event will be affected by the change
  • We fixed an issue that would prevent calendar events from syncing correctly to an Outlook calendar
  • We fixed an issue that was preventing the ability to clone days more than once
  • On mobile devices, attendance status now shows a selected option by default, instead of requiring manual input (which would lead to issues upon saving)
  • We fixed an issue that was allowing all-day events to be visually extended across multiple days (as the functionality remained as one day)

Families & Invoices

  • We updated the text in the automatic overdue invoice reminder summary for clarity
  • Business settings now show sales tax down to three decimal points
  • We resolved a delay that could occur when trying to save a recurring charge on the last day of the month
  • We fixed an issue that was causing charge categories to show up as event categories

Tutors & Staff

  • We fixed an issue that would cause make-up events to revert back to a previous payroll category under unique circumstances
  • The Attendance and Notes tab of a tutor’s profile now shows columns for both resources & notes
  • When inviting a new tutor to use the Tutor Portal, the text in the initial email has now been updated for clarity
  • We removed some visual references to areas of TutorBird that a tutor with limited privileges wouldn’t have access to

Website Builder

  • Gallery images with columns can now be rearranged into a different order by using the new arrow buttons
  • We added additional functionality to the html block of the website builder, providing users more options to embed items
  • Images can now be uploaded in bulk to a website gallery
  • Student Portal welcome emails will now display a user’s own website’s login page instead of the default login page
  • We fixed an issue that would cause images to not display on a user’s website if there was an “&” symbol in the name
  • We added the ability to easily copy a page URL from the page menu
  • We resolved an inconsistency with images loading in the website builder

General/Other

  • When looking at a list with multiple pages, you can now jump to a specific page instead of having to scroll through each one
  • We upgraded the look & functionality of various tables throughout the application
  • When membership receipts are downloaded, the file name now references the date of the transaction instead of the date of the download
  • We fixed an issue that was preventing the search ability in the Lending Library from functioning correctly
  • The Lending Library list now includes a column to show public & private notes
  • We fixed an issue that was causing irregularities with the visual graph showing Expenses & Other Revenue
  • After editing the details of an expense and returning to the previous page, the date range will now remember what you had entered previously instead of reverting to the default setting
  • We fixed an issue that was preventing sales tax to be saved in the Expenses & Other Revenue
  • News & Blog Posts can now be filtered by publish location
  • When playing back a video in the Online Resources section, the ability to change the video’s speed is now functioning on mobile
  • In the Student Portal, Attendance and Notes is now sorted by newest to oldest by default

Today may be a leap day, but we’ve taken our time to bring you some exciting new updates, including some upgrades to our brand new Website Builder! Check out our new updates for this month:

Calendar & Attendance

  • When looking at the calendar in day view, the calendar will remember from your previous login whether you organized by tutor or location
  • In the case of an event cancellation, the email notification now includes the name of the tutor who cancelled the event
  • We fixed an issue that would prevent a warning message to appear when changing attendees on a recurring event, if the event had no tutors assigned
  • We fixed an issue where upon refreshing the browser a filter applied to the calendar would remain but the filter menu wouldn’t display correctly
  • We fixed an issue that affected how events were shown after certain filters were applied

Families & Invoices

  • We added a confirmation message when attempting to disable auto-invoicing for a family
  • We fixed an issue that could cause invoices to take longer to process than usual
  • We fixed an issue that may have prevented multiple payments from being added consecutively to the same family account

Tutors & Staff

  • While in a tutor’s profile page, using the drop-down option to switch to a different tutor’s profile will now always default back to the start of the student list
  • We improved the way we notify non-admin tutors that they don’t have permission to save email templates
  • We fixed an issue that would prevent search bar on the payroll page to filter by the source column correctly

Student Management

  • When editing family details, you can now click on a student’s name in the “multiple students” banner to visit their profile (appears if a family has multiple students)
  • If a student registers for lessons using the online registration form, they can now manually enter a subject if there are no other options available
  • We fixed an issue that would prevent the ability to select “all students” when selecting a group
  • When composing an email, you can now include a link to a page of your TutorBird-hosted website by clicking on the link button and selecting the page from a drop-down
  • When you send a password reset email you are now notified right away if the email has been sent successfully
  • When a student cancels their lesson, the in-app notification now shows the cancellation feedback (the reason why the lesson was cancelled)

Website Builder

  • Social media links can now be added to either the header or the footer or both, as desired
  • We fixed an issue that prevented the ability to change the color of text after it becomes a hyperlink
  • We added the ability to attach hyperlinks to images (clicking on an image can link you to another website or page on your website)
  • We added a check to the contact form widget to ensure that email addresses submitted by students are valid

General/Other

  • We have upgraded keyboard functionality in the calendar & in search menus to improve accessibility
  • We improved the way the Student Retention Rate report displays information regarding a business’ active students
  • Links included in the private description section of the home agenda are now clickable
  • We added a search function to the Notification Center, allowing the ability to search by text in addition to status
  • We streamlined the function of certain search bars to improve functionality
  • We upgraded the look & functionality of various tables throughout the application
  • Various cosmetic tweaks throughout

What’s new with the TutorBird website builder?

What you should really be asking is… what isn’t? Our new website builder isn’t an update of the old one – it’s a brand new feature built from scratch! We reviewed our members’ requests, checked out what people like & dislike about other website builders, and designed our new website feature to include: 

  • A visual drag & drop editor that requires no web-building experience 
  • A library of content blocks for page headers, photo galleries, and more 
  • Pre-built design templates that are mobile-responsive 
  • Customizable logos, fonts, and colors for a branded look & feel 
  • A media library to upload your files for easy access (plus stock photos that are free to use!) 
  • Widgets for new student sign-ups, contact forms, and Student Portal logins

I don’t have a website at all! What do I need?

If you’re starting from scratch and don’t know where to begin, we’ve got a few tips for you! 

  • Look around at other tutoring business websites (or other websites for small businesses!) to see what common elements there are 
  • Make a list of what pages you want to include – we recommend starting with a Home page, About Me page, Contact page, and sign-up form  
  • Use a word document or a piece of paper to start writing a rough draft of the content for your website – try to explain the benefits of your tutoring business, your location, info about how to register, and testimonials from current families 
  • To improve your website’s SEO, think about what terms your potential customers would be searching for and make sure to use some of those phrases in your content (for example, “reading tutor in Anaheim” rather than only using your business’ name) 
  • Use a spellchecker to check for spelling & grammar errors, and have a trusted friend look over your site for another set of eyes! 

How do I get started with the new TutorBird website builder?

It’s no trouble at all! Our website builder feature walks you right through it as you go, but to put it simply: 

  1. In your TutorBird account, navigate to the “Website” feature in the main menu on the left 
  2. Select “I want to build a website”
  3. Choose from one of the templates (don’t worry, you can change this at any time!)
  4. Set up your domain – you can use a free domain provided by TutorBird or connect your own!
  5. Name your website and optionally upload your business logo
  6. Start editing the content in the visual editor, and drag new content blocks in to add more!

What if I already have a website built elsewhere that I want to keep?

Not a problem – TutorBird offers customizable widgets you can put on your existing website:

  1. New Student Sign-up Form: Add custom fields, registration fees, auto-send confirmation emails, and more!
  2. Student Portal Login: Give your families a place to log in to their Portal without navigating away from your website!
